Children’s Bead Craft Party Terms & Conditions

1. Booking

A booking is confirmed once Craft Cabin Baildon has received the required booking information and deposit.

The person making the booking confirms that they are the parent, guardian or have the appropriate authority to make arrangements for the children attending the party.

The person making the booking is responsible for ensuring that all parents/guardians of invited children are made aware of these Terms & Conditions.

2. Party Duration

Children’s bead craft parties last approximately 1½ hours.

The party will begin and finish at the times stated at the time of booking. Parents and guardians are responsible for ensuring that children arrive promptly and are collected promptly at the end of the party.

3. Age and suitability

Bead craft parties are suitable for children aged 7 years and over, unless otherwise agreed with Craft Cabin Baildon in advance.

The activity involves small beads and other small craft components. These materials may present a choking risk if swallowed and are not suitable for children who are unable to use them safely.

The booking adult is responsible for ensuring that the activity is suitable for their child.

4. Parent and guardian responsibility

Craft Cabin Baildon children’s birthday parties are 1½-hour craft activity sessions and are not a childcare service.

The parent or guardian booking the party must remain at the venue for the full duration of the party and will act as the responsible adult for the children whose parents or guardians have chosen to leave them at the party.

Parents or guardians who choose to leave their child must agree to this arrangement and provide the responsible adult with an emergency contact number before leaving their child.

Parents and guardians must inform Craft Cabin Baildon of any relevant medical conditions, allergies, additional needs or other information that may affect their child’s participation in the craft activity.

Craft Cabin Baildon will supervise and manage the craft activity, provide appropriate instructions and take reasonable steps to maintain a safe environment in accordance with the party risk assessment.

The responsible adult must remain at the venue throughout the party and must be available to deal with matters relating to the children in their care, including contacting parents or guardians if necessary.

If the responsible adult needs to leave the venue for any reason, an alternative responsible adult must be agreed with Craft Cabin Baildon before they leave.

At the end of the party, children who have been dropped off must only be collected by their parent/guardian or another adult authorised by the parent/guardian. The responsible adult must supervise collection.

5. Information about children

Before the party, the booking adult must provide Craft Cabin Baildon with any information that may be relevant to the safe participation of each child.

This includes, where applicable:

– allergies

– medical conditions

– additional needs

– sensory needs

– behavioural or communication needs

– relevant medication or emergency information

– any other information that may affect the child’s participation or safety

Parents/guardians must ensure that the information provided is accurate and up to date.

6. Beads and craft materials

The party involves the use of small beads and other craft materials.

Children will be given instructions on the safe use of the materials and are expected to follow those instructions.

Beads and other small components must not be put in the mouth, nose or ears.

Children must remain seated or in the designated craft area when using the craft materials unless instructed otherwise.

Any child who repeatedly uses materials in an unsafe manner may be asked to stop using those materials for their own safety and the safety of others.

7. Supervision and behaviour

Craft Cabin Baildon will supervise the craft activity and provide appropriate guidance and instructions.

Children are expected to behave appropriately and follow reasonable instructions from Craft Cabin Baildon and the responsible adult.

Aggressive, dangerous or persistently disruptive behaviour may result in a child being asked to stop participating in the activity.

If a child’s behaviour presents a significant risk to themselves or another child, the responsible adult will be asked to contact parent/guardian and ask for the child to be collected.

8. Accidents and emergencies

Craft Cabin Baildon will take reasonable steps to maintain a safe environment and will follow its risk assessment.

In the event of an accident or illness, appropriate first aid will be provided where reasonably practicable.

The responsible adult and/or the child’s parent/guardian may be contacted where necessary.

In an emergency, Craft Cabin Baildon may contact the emergency services where it considers this necessary.

Parents/guardians give permission for emergency medical assistance to be sought for their child if required and if they cannot be contacted promptly.

9. Allergies and food

Parents/guardians must inform Craft Cabin Baildon of any allergies or dietary requirements before the party.

Craft Cabin Baildon only provides drinks.

The booking adult can provide a birthday cake. This must be cut up for the children to take home. 

10. Clothing and personal belongings

Children should wear clothing suitable for a craft activity.

Craft Cabin Baildon is not responsible for damage to clothing or personal belongings arising from participation in the craft activity where reasonable precautions have been taken.

Children should avoid bringing valuable or unnecessary personal items to the party.

11. Photographs and social media

Photographs or videos may only be taken or used by Craft Cabin Baildon in accordance with the permissions provided by the relevant parent/guardian.

No child will be deliberately photographed for promotional purposes without appropriate parental/guardian permission.

Parents and guests are asked to respect the privacy of other children and should not post photographs or videos containing other children on social media without permission from their parent/guardian.

12. Cancellation by the customer

If the booking needs to be cancelled, the booking adult should contact Craft Cabin Baildon as soon as possible.

The £50 deposit will be retained by Craft Cabin Baildon.

13. Cancellation by Craft Cabin Baildon

Craft Cabin Baildon reserves the right to cancel or postpone a party where circumstances outside its reasonable control make it unsafe or impractical to hold the party.

This may include severe weather, illness, venue problems, utility failure or other unforeseen circumstances.

Where Craft Cabin Baildon cancels a party, the booking adult will be offered an alternative date where possible or a full refund.

14. Late arrival and collection

Parents/guardians are responsible for ensuring that children arrive on time.

Parents/guardians are also responsible for collecting children promptly at the agreed finishing time.

If a parent/guardian is delayed, they must contact the responsible adult as soon as possible.

Children must not leave the venue independently unless this has been specifically agreed with their parent/guardian in advance.

The responsible adult must stay until all the children have been collected.

15. Craft Cabin Baildon’s responsibilities

Craft Cabin Baildon will:

– provide the agreed bead-craft activity

– provide appropriate instructions and guidance

– carry out and follow an appropriate risk assessment

– take reasonable steps to maintain a safe environment

– provide suitable craft materials for the planned activity 

– respond appropriately to accidents or emergencies

Craft Cabin Baildon does not accept responsibility for risks arising from information about a child’s medical, behavioural, developmental or other needs that has not been disclosed to us before the party.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

16. Changes to the party

The craft activity may occasionally need to be changed because of availability of materials, safety considerations or circumstances outside Craft Cabin Baildon’s control.

Where a change is necessary, Craft Cabin Baildon will aim to provide an activity of a similar nature and value.

17. Acceptance of these Terms & Conditions

By making a booking, the booking adult confirms that they have read and accepted these Terms & Conditions.

The booking adult also confirms that they will communicate the relevant arrangements to the parents/guardians of children attending the party, particularly the arrangements relating to drop-off, emergency contacts, allergies and collection.
